Approve or reject an invoice from the project workspace

When an expert bills a completed milestone, the invoice is raised as a draft and waits for a manager to decide it. Until now there was nowhere on the project workspace to make that decision, so drafted invoices sat there with no way forward.

The invoices section of a project workspace now carries the decision on each invoice’s own row. A drafted invoice offers Approve, which sends it to the customer to pay, and Reject, which closes it. Every other invoice shows its status as before.

Either the customer success manager or the service delivery manager can decide — you do not have to be the manager recorded on the invoice, only assigned to the project. One decision settles it: once either of you has approved or rejected, the other sees the result rather than a second decision to make. Rejecting is final, and because a milestone can only ever carry one invoice, a rejected milestone cannot be billed again.

Approve and reject are also still available, alongside dispute, from the invoice approvals queue under Finances.

What customers see

An invoice now reaches the customer only once it has been approved. A drafted or rejected invoice no longer appears on their project workspace, in their invoices list, or on their project pages — including the next payment due card and the overdue invoice warning, both of which could previously name a bill nobody had agreed to. Billed and paid totals are unchanged: they already counted only approved invoices.
