Leads without proposals now close themselves when the bid deadline passes

A daily automation now watches the bid deadline on every lead in the pool. When the deadline passes with no proposal submitted, the lead closes as Unmatched. When every submitted proposal was rejected, it closes as No fit instead. A lead with any proposal still live is left alone — the flow owns it.

What CSMs see

Forty-eight hours before a lead is heading for an automatic close, the assigned CSM gets a single warning naming the outcome the lead is heading for. When the deadline passes, the CSM gets the close notice. Both appear in the inbox and, unless preferences say otherwise, in email.

What vendors see

When a lead closes on the deadline, its vendor is notified alongside the CSM. Nothing changes for a lead that never had a vendor assigned.

What experts see

A closed lead leaves the bid pool immediately, so it stops appearing in the expert bid workbench and the matcher no longer considers it. The pool now reflects live opportunities, not stalled ones.

Why the automation matters

Every closed lead now carries one of the six documented drop-off reasons, so the vendor funnel-loss report no longer counts pool-abandoned leads as unclassified. Unmatched signals a gap in the expert pool or a BRD that failed to attract bids; No fit signals a customer whose requirements the pool couldn’t satisfy — two different failure modes, worth telling apart.
